Section 1

Front Desk

  • Log into BuildingLink on the desktop and front desk iPhone
  • Retrieve the front desk phone and keys
  • Review Shift Notes thoroughly and check resident instructions in BuildingLink profiles
  • Check Front Desk Outlook email, texts, and call logs
  • Review the BuildingLink contractor calendar
  • Check concierge back office for deliveries
  • Open clubroom blinds and confirm coffee & water station is stocked

Valet

  • Sign in to the GEO App on the valet cellphone
  • Collect valet keys from the secure location
  • Take inventory of all vehicles in valet possession — note make, model, and parking location
Section 2
  • Greet all residents and guests warmly and professionally — smile, make eye contact, friendly tone
  • Always greet residents by name when known
  • Stand when guests approach the desk
  • Offer assistance immediately and proactively
  • Walk residents or guests to the elevator and assist with fobbing to their floor when needed
  • Never discuss other residents or internal matters
  • If unsure about a request, inform the resident you will check with management
The resident's first interaction upon arrival sets the tone for their entire experience. Promptly standing and approaching is critical.

  • Answer all calls promptly
  • Respond promptly to resident calls and text messages
  • Valet may answer if the front desk phone continues ringing unanswered
  • Document all relevant communication in Shift Notes
Section 4
  • Review Shift Notes regularly throughout your shift
  • Log packages, guests, vendors, and contractors
  • Create reservations and contractor calendar entries as needed
  • Submit work orders and resident communications when appropriate
  • Call residents for visitor approval and to check for Permission to Enter (PTE)
  • Always create an event for visitors, contractors, or deliveries

  • Use the GEO App to scan and log all packages
  • Write the unit number clearly on each package
  • Place packages neatly on the shelf
  • When picked up: close out the package event in BuildingLink
Section 6

Resident vehicle and unit keys are stored in the KeyTrak system at the front desk.

Login

  • Username: epicvalet  |  Password: esp2402 (also posted near the keyboard)

Checking Out Keys

  1. Log in → click Out
  2. Enter unit number in the Asset ID field (e.g., 603)
  3. Select the correct key — confirm vehicle description
  4. Click Add → select reason (vehicle keys → "Park Vehicle") → OK → UNLOCK
  5. Drawer 2 opens — selected key highlighted in red. Remove and close drawer.

Returning Keys

  1. Log in → click In
  2. Select drawer: Drawer 1 = unit keys & fobs  |  Drawer 2 = vehicle keys
  3. Place key in any available slot and close securely
Return keys immediately after use. Never leave keys out or unattended. Store any resident-provided keys in KeyTrak and document in shift notes.
Section 7

All Visitors

  • Always call the resident before granting access
  • Do not allow entry without confirmation or valid PTE in BuildingLink
  • Assist with elevator access as needed
  • Front desk fob code: 1010

Contractors & Vendors

  • Verify who they are visiting and confirm authorization in BuildingLink
  • Collect photo identification
  • Issue keys/fobs as required via KeyTrak
  • Record visit details in the Event Log
Always verify PTE in BuildingLink before releasing keys or fobs to any vendor or contractor.
Section 8

Unscheduled visitors are not permitted access to the community without prior authorization.

Includes

  • Process servers, inspectors, legal representatives (unless presenting a valid subpoena or warrant)
  • Any individual attempting entry without prior approval
DO NOT grant access · DO NOT escort onto property · Contact Management immediately

Approved Response

"Our association policy does not allow unscheduled visitors access to the community. You will need to coordinate with management. I can notify them of your request."
  • Be polite and calm — do not engage in arguments
  • Do not provide resident information
  • When unsure → escalate to management
Section 9
  • Stand promptly and approach every vehicle that arrives at the Porte Cochere
  • Open the car door for the resident or guest
  • Collect the keys and unlock the front door for building access
  • Ask residents: "Do you need any assistance with the elevator?"
  • Park the vehicle in the garage and log the location
  • If no garage space is available, keep the vehicle in the Porte Cochere

  • Continuously monitor security cameras throughout your shift
  • When someone approaches the entrance — assist with access promptly and professionally
  • Report any suspicious activity to management immediately
  • Maintain a clean and organized front desk at all times
Section 12

Front Desk

  • Update Shift Notes with all important information
  • Log out of all systems
  • Confirm all keys and fobs are accounted for
  • Pass important information to the next shift
  • Report incidents or damage to management immediately

Valet

  • Complete the valet shift inspection in the GEO App — include photos
  • Confirm all vehicles and keys are properly accounted for
  • Complete Valet Log Sheets with final vehicle count and notes
  • Pass all relevant info to the next shift: vehicle locations, incidents, special requests
  • Report any incidents or damages to management immediately
